In today’s dynamic retail environment, small and medium-sized enterprises (SMEs) require payment solutions that are intuitive and time-efficient. One of the most essential tools for merchants is the ability to verify transactions swiftly and accurately.
Understanding transaction history
A transaction history is a chronological log of all payment activities processed through a point-of-sale (POS) terminal. It includes important details such as transaction amounts, dates, statuses (approved, declined, refunded), and submission information to the bank. This log serves as a vital tool for merchants to reconcile daily cash receipts, verify customer payments, and investigate discrepancies.
Challenges faced by merchants
Despite its importance, accessing and interpreting transaction data has presented several challenges:
- Outdated and complex interfaces that made navigation difficult.
- Limited filtering options, making transaction searches time-consuming.
- Lack of information to understand why the payment has been rejected.
- No direct refund capabilities from the transaction history.
- Inability to calculate totals based on selected filters.
- Dependence on support teams for reconciliation assistance.
These limitations not only slowed down operations but also impacted the overall merchant experience.
Key benefits of the enhanced transaction history
Recognising these concerns, PayXpert has introduced a significant enhancement to its in-store solution: a redesigned transaction history feature, available directly on POS terminals. This update is designed to empower merchants with greater control, visibility, and autonomy in managing their payment operations.
Optimised user experience
The redesigned interface on the POS terminal has been carefully developed to simplify daily operations. Merchants can access transaction data in no more than three steps, significantly reducing the time spent navigating complex menus and improving overall usability.
Advanced filtering capabilities
To facilitate faster and more precise searches, the system allows transactions to be filtered using up to eight distinct criteria. These include date ranges (day, week, month, or personalised), transaction status, type, bank submission status, and merchant contract. This level of granularity enables merchants to locate specific transactions with ease.
Improved transaction visibility
Understanding why a payment has failed or been rejected is crucial for operational clarity. The feature provides detailed error insights, helping merchants to identify and resolve issues promptly. Additionally, the File Collection status (issued / not issued) allows users to detect any missing transactions, ensuring complete oversight.
Simplified reconciliation tools
Reconciling payments is more efficient thanks to the ability to view transaction totals by day, week, or month, based on selected filters. Merchants can also instantly assess the volume and value of transactions that are still pending submission to the bank, supporting more accurate financial tracking.
Refund functionality
Operational autonomy is further strengthened with the ability to initiate refunds directly from the transaction history. This eliminates the need to access separate systems or rely on support teams, allowing merchants to manage post-sale adjustments independently.
Digital ticket storage
The reliance on paper receipts has been removed with the introduction of secure digital ticket storage. All transaction tickets are safely archived and can be retrieved or printed via the Back Office if required, contributing to a more sustainable and organised workflow.
Why it matters
For SMEs and small businesses, time is a priceless resource. The ability to access transaction data directly from the POS terminal means faster reconciliation, fewer errors, and improved customer service. This feature not only simplifies payment management but also enhances transparency and control for merchants.
